IMO - you should allow time for delivery of what was promised in the
mail, and then you should write a letter.
Only _then_ should you go in person and discuss the letter.
THE MORE IN WRITING - THE MORE YOU HAVE TO SHOW LATER.
Also - when you have the meeting - MAKE NOTES DURING THE MEETING.
I don't know the legailities in the USA - in the UK, it's enough if
you make notes during and immediately after the meeting. In Germany,
the other party has to sign your notes. But make it clear that you
are recording all aspects of the transaction.
